  1. Who we are?

At LDAS, we are committed to providing our life-changing services to women and girls escaping domestic abuse and other forms of gender violence.

We want to be completely clear and transparent about how we take exceptional care of any personal data you share with us and how we use that data once we collect it.

LDAS is a ‘data controller’ for the purposes of the EU General Data Protection Regulations, 2018. As a data controller, we are responsible for deciding how we capture and use personal information about you. This policy explains to you what decisions we have taken in relation to that information.

2. How we collect information about you

When you visit our website: We only collect personal information that you voluntarily give to us by completing either of the forms on our website. This information is captured and processed so that we can provide you with the service you have requested.

When you call our office: We only collect personal information that you voluntarily give to us during the call. This information is captured and processed so that we can provide you with the service you have requested.

When using Live Chat: All details of Live Chat conversations will be automatically deleted at the end of each session. Any notes containing personal information that you voluntarily give to us this will be held securely to provide you with any services you have requested.

3. Information we collect about you

We only collect the information you provide either through the contact forms on our website when you call us or when you use our Live Chat facility via the website. The types of information we capture are.

  • name
  • your contact details (including telephone number and e-mail address)
  • whether you would like an interpreter and language required
  • your message
  • any specific consent, where given
  • any other personal information you provide to us

Under GDPR, certain types of personal information are deemed to be special category as they are considered to be more sensitive.  For example, information about health, race, religious beliefs, political views, trade union membership, sex life or sexuality or genetic/biometric information would be classed as special categories of personal data. We only collect this type of information if provided to us and where this is a specific need for us to do so.

4. How your information is used

LDAS will only use your personal data to provide the services requested and in line with the guidelines provided in this policy.

We use the information you provide to us for one or more of the following purposes:

  • to provide you with the requested services requested and to understand how we can improve our services over time
  • to respond to or fulfil any requests, complaints or queries you make to us
  • to display content to you in a way appropriate to the device you are using (e.g. if you are viewing content on a mobile device or a computer)
  • to monitor website use, to identify non-personalised visitor location, guard against disruptive use and to monitor website traffic
  • to meet our legal obligations to agencies such as regulators, government and/or law enforcement bodies

5 Who your information is shared with

We may disclose personal information if required to do so by law and / or in situations of safeguarding. Information may be shared with the appropriate law enforcement and statutory agencies for the purposes of safeguarding where action needs to be taken to protect the safety of the individuals concerned.

We do not share your information with any other third-party organisations.

6. How long we keep your information for

We will only retain your personal data for as long as is necessary to provide you with the services requested. Our Retention Policy and Schedule provides details of our retention periods for the different aspects of personal data that we process as part of our services. A copy of this can be requested via email from our Data Protection Officer – paulanolan@heatkensington.org.uk.

In certain circumstances, we may anonymise your personal data so that it can no longer be associated with you and we may use this data for reporting purposes without further notification to you.

7. How we keep your information safe


At LDAS, we place great importance on the security of your information that you have provided to us.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to only those employees or associates who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality. Details of these measures may be obtained from the DPO.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

Our website may contain links to other sites. While we try to link only to sites that share our high standards and respect for privacy, we are not responsible for the content or the privacy practices employed by other sites.

8. General data protection principles

In collecting and processing your personal information, we will comply with the latest data protection regulations. This requires that the personal information we hold about you must be:

  1. Used lawfully, fairly and in a transparent way.
  2. Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
  3. Relevant to the purposes we have told you about and limited only to those purposes.

Your rights in connection with personal information

Under GDPR, and in certain circumstances, you have several rights as a “data subject”. These are summarised below:

  1. Request access to your personal information (commonly known as a “data subject access request”). This enables you to receive a copy of the personal information we hold about you and to check that we are lawfully processing it. You can make a request for access free of charge.  Please make all requests for access in writing and provide us with satisfactory proof of your identity.
  2. Request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected.
  3. Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing (see below).
  4. Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.
  5. Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.
  6. Request the transfer of your personal information to another party.

If you want to review, verify, correct or request erasure of your personal information, object to the processing of your personal data, or request that we transfer a copy of your personal information to another party, please contact our DPO.

Use of cookies

When visiting our website, we use cookies to track details such as which pages you visit but this data is collected anonymously and is there to enable us to improve your experience when using our website

These “Cookies” are pieces of information that a website transfers to your hard drive to store and sometimes track information about you.  Most web browsers automatically accept cookies, but you can change the settings in your browser if you wish to prevent them being used at all.
